CANCELLATION POLICY

DAY FLIGHTS / TOURS
Within 24 hours or less of departure: NON-REFUNDABLE
25 hours to 7 days prior to departure: 20% administration fee will be charged per booking

COVID-19 policy for Day Flights/ Tours
Our Standard cancellation policy remains in place, however, if guests are unable to travel due to Government border closures or travel restrictions, that restrict the client from entering the Kimberley at the time of travel, we will offer to amend the travel dates or cancel without fee providing notice, no less than 24 hours prior to flight/tour departure is given.
OVERNIGHT TOUR PACKAGES
Within 7 days or less of departure: NON-REFUNDABLE
8 days to 14 days prior to departure: 50% of booking will be retained
15 days to 30 days prior to departure: 20% of booking will be retained

Our Standard cancellation policy remains in place, however, if guests are unable to travel due to Government border closures or travel restrictions, that restrict the client from entering the Kimberley at the time of travel, we will offer to amend the travel dates or cancel without fee providing notice, no less than 7 days prior to package departure is given.

EXTENDED SAFARIS
Within 60 days or less to departure: NON-REFUNDABLE
61 days or more prior to departure: 20% deposit will be retained.
COVID-19 policy for Extended Safari’s (including Luxury Air Safari’s)
Our Standard cancellation policy remains in place, however, if guests are unable to travel due to Government border closures or travel restrictions, that restrict the client from entering the Kimberley at the time of travel, we will offer to amend the travel dates or cancel. The 20% deposit is not refundable but will be held in credit to be used for a reschedule of dates. If you choose to cancel, a refund of any funds is subject to third party fees at the time.
All International bookings will require to re-schedule or cancel if the Australian border is not open 90 days prior to arrival.
Cancellations must be advised in writing.

INSURANCE | We strongly recommend that all customers take out travel insurance. In the event of a tour being cancelled by us, customers will be entitled to a full refund without penalty.

PAYMENT CONDITIONS | To confirm your reservation, full payment must be made, unless you have an existing account with us. All existing accounts are strictly 14 days. Payment can be made via credit card, bank deposit or cash. AMEX cards will attract a 2% surcharge.

MINIMUM NUMBERS | A minimum of 2 passengers or the equivalent cost is required to confirm a tour booking, unless the tour is already confirmed to run. Please call our reservations team to check availability for one passenger. All overnight packages rates are Twin Share. Single Supplement prices are available.

CHILD AGE / INFANT POLICY | Infants are classified as 0-1 years and may travel free of charge on their parent’s lap with lap strap. Please note that only one infant may travel per aircraft. Children are classified as 2-12 years of age inclusive and must be accompanied by an adult on flights.

ACCESSIBILITY INFORMATION | Please advise the level of assistance required with a minimum of 48 hours prior to departure time. Staff are not permitted to lift any passengers.

CHECK IN TIME | Passengers must be at the aircraft departure point / tour departure point no later than 30 minutes prior to scheduled departure time.

COMMENTARY | All scenic flights and tours include personalised commentary by the pilot / tour guide. All tours and safety briefings are conducted in English.

SEAT WEIGHT LIMIT | The maximum seat weight limit on the Robinson R44 & R66 helicopter is 136kg. For all other helicopter types, the maximum seat limit is 150kg. Please check with our reservations which aircraft is running on the day of the tour.

PERSONAL ITEMS | All care is taken but no liability is accepted for damage to personal items. For lost property, please contact the office you departed your flight.

CAMERAS | Cameras and phones must have a lanyard / wrist strap. Tablets and iPads are not permitted to be used on board.

LUGGAGE RESTRICTIONS | We prefer soft luggage only and a maximum of 8kg per person.

SEASONALITY | Opening and closing dates of our remote bases during the dry season may vary. Please contact our Kununurra office for more information (08) 9168 1101.

VALIDITY OF RATES | Prices quoted are valid until 31st March 2025 and are subject to change. All prices are in Australian dollars ($AUD). Tours paid for in full are protected from price increases. In the event of HeliSpirit introducing a special offer or rates that are discounted against the standard rate, retrospective refunds will not be permitted. Prices are subject to change without notice.

HOTEL TRANSFERS | Complimentary pick up/drop offs are available for all flights which depart Kununurra only. Pick up will be 30 minutes prior to flight departure and available from all Hotel, Motels and Caravan Parks within Kununurra Township. Please advise at the time of booking if you require a pick-up or call the HeliSpirit office directly on (08) 9168 1110, no later than 3pm the day prior to departure.

GOVERNMENT CHARGES | Our prices are fully inclusive of all government, environmental and airport levies.

ITINERARIES | Whilst it is our intention to deliver the itinerary of your choice, unforeseen circumstances such as the nature of the terrain, unseasonable weather, national park area closures and so on, travelling conditions may be affected and therefore, make it necessary to alter touring with little or no notice.

FUEL SURCHARGE | In the event of significant upward movement in the cost of aviation fuel, we reserve the right to introduce a fuel surcharge. This shall be advised in writing no less than two weeks prior to its commencement and will be advised at the time of booking confirmation.

CUSTOMER INFORMATION AND PRIVACY | We require customer information for all reservations that we accept, including full passenger name, passenger weight, contact telephone number, and email address. Passenger information will be retained by us in accordance with our Privacy Policy which may be viewed on our Privacy Policy page on our website. We require passenger contact information to allow us to make contact with passengers in the event of occurrences including but not limited to adverse weather conditions, on the rare occasion that a tour time may be rescheduled, or in the event that personal property has been left behind after a tour. EXTENDED SAFARI ITINERARIES: A completed booking form and deposit of 20% is required within 7 days of booking unless the departure date is 60 days or less in advance, when a 100% deposit is required. Final payment of all outstanding amounts is required no later than 60 days prior to arrival. Failure to pay by the due date will result in the cancellation of booking and forfeit of any deposit.

PAYMENT TERMS

Overdue accounts may attract an additional fee of 1.5% per month applied to the outstanding balance.

In the event of any loss of funds which is not due to the negligence of Helicopter Film Services Pty Ltd, we will not be liable for any loss or damages that may be suffered, and we shall be released from all claims, loss or liability incurred.

Your gift voucher is subject to the following conditions:

  • The Tour can only be taken if there are already people booked on to the same tour
  • The booking must be made directly through HeliSpirit
  • Flight departure is subject to availability and appropriate weather conditions
  • It is not redeemable if expired
  • It is not redeemable for cash
  • It is not transferrable
  • If a tour is priced at more than the voucher value, then further payment will be required before the flight is taken
